Project Profit Calculator

Enter your project revenue, materials cost, labor hours and rate, allocated overhead, and an optional estimated tax rate, to calculate project profit and margin. The formula, every assumption, and intermediate values are shown alongside the result.

Total amount the project bills or is expected to bill.

A label only - keep every figure you enter on this same basis.

Materials, supplies, subcontractors, and other costs tied directly to this project.

Share of fixed business overhead (rent, admin, software) allocated to this project.

Flat-rate estimate applied to a positive pre-tax profit. Not a substitute for a tax professional.

How to use the project profit calculator

Start with the amount you expect to bill, then enter direct costs, planned labor, and the share of overhead assigned to the project. The calculator shows project profit and project margin, along with labor cost, total project costs, pre-tax profit, and the formula used.

Calculate project profit in five steps

  1. Enter Project revenue, Materials / direct costs, Allocated overhead, Labor hours, and Labor rate per hour.
  2. Enter Estimated tax rate % (optional), or leave it blank to use 0%.
  3. Choose a Period label and Currency symbol. Keep every figure on the same basis.
  4. Select Calculate project profit. A missing or invalid value hides the result and shows an error.
  5. Use Copy result or Download result (.txt) after the calculation appears.

Project profit formula and a worked example

Labor cost is Labor hours multiplied by Labor rate per hour. Total project costs add Materials / direct costs, that labor cost, and Allocated overhead. The calculator subtracts total project costs from Project revenue. If pre-tax profit is positive, Estimated tax rate % (optional) is applied to it.

Project revenue: 20000
Materials / direct costs: 5000
Allocated overhead: 1500
Labor hours: 120
Labor rate per hour: 45
Estimated tax rate % (optional): 21

Labor cost: $5,400.00
Total project costs: $11,900.00
Pre-tax profit: $8,100.00
Estimated tax: $1,701.00
Project profit: $6,399.00
Project margin: 32%

Project margin divides Project profit by Project revenue and multiplies the result by 100. Money values display with two decimal places. Percentages display with up to two.

What Period label and Currency symbol change

Period label adds Per project, Monthly, Quarterly, or Annual to the Project revenue and Project profit labels. It does not convert figures, so revenue, costs, hours, and overhead need the same basis. Currency symbol changes the symbol shown beside money values.

The result includes project profit, project margin, total project costs, entered figures, intermediate values, and the formula. Copy result puts the calculation in plain text. Download result (.txt) saves project-profit-calculator-result.txt.

Project profit calculator validation and tax rules

  • Project revenue must be a number greater than 0. Materials / direct costs, Labor hours, Labor rate per hour, and Allocated overhead must be numbers of 0 or more.
  • A blank Estimated tax rate % (optional) becomes 0%. Entered tax values must be from 0 through 99.9. Tax is 0 when pre-tax profit is zero or negative.
  • The calculation uses the numbers you enter. The calculator does not fetch market prices, wage benchmarks, or other outside data, and its workflow does not submit those values.

Where project profit calculations come up

A contractor can enter a quoted project amount, subcontractor costs, planned hours, an hourly labor rate, and allocated overhead before accepting the work. The resulting margin shows the share of revenue left after those entered costs and the estimated tax.

A studio can compare two scopes by changing Labor hours, Materials / direct costs, or Allocated overhead, then saving each result as a text file. A project manager can use Period label to mark figures prepared per project, monthly, quarterly, or annually without converting them.

Choosing a business calculator

Business Calculators covers related planning jobs. Choose Business Profit Calculator for COGS, margins, break-even, project profit, and billable hourly rate. Choose Billable Hourly Rate Calculator for a charge rate based on income target, expenses, working hours, and utilization. Choose Break-Even Revenue Calculator for break-even units or revenue based on fixed costs, price per unit, and variable cost per unit.

Frequently asked questions

How do I calculate project profit?

Project profit is pre-tax profit minus estimated tax. Pre-tax profit is Project revenue minus Materials / direct costs, Labor cost, and Allocated overhead, with Labor cost equal to Labor hours multiplied by Labor rate per hour.

Does the project profit calculator include labor cost?

Yes. It multiplies Labor hours by Labor rate per hour, then includes that labor cost in Total project costs.

Does Period label convert monthly project figures?

No. Period label changes the result label only. It does not convert values, so enter Project revenue, costs, hours, and overhead using the same basis.

Can I use the estimated tax as my tax bill?

No. Estimated tax is a flat-rate planning calculation applied only to positive pre-tax profit, and it does not determine actual tax liability.

Does the project profit calculator use outside data?

No. It calculates from the figures you enter and does not fetch market prices, wage benchmarks, or other outside data.
