How to compress documents
Add supported files, set the image options, and click Compress. Document Compressor rebuilds each package in the browser. It checks embedded media images and keeps a replacement only when that image is smaller. The results table shows Original, Output Size, Savings, and Status.
- Add files to Drop documents here, or select browse files. The input accepts DOCX, PPTX, XLSX, ODT, ODP, and ODS files.
- Choose a Compression preset: Light, Balanced, Strong, or Custom.
- With Custom selected, set Image quality and Max image dimension. You can also enable Target file size, enter Target size (per file), and choose KB or MB.
- Remove a row if needed, then click Compress. Files are processed one at a time. Changing a setting clears the previous results.
- Read Original, Output Size, Savings, and Status. Download a completed row or choose Download all as ZIP.
How to compress DOCX, PPTX, and XLSX files
Light uses 84% image quality and a 2400 px maximum dimension. Balanced uses 70% and 1600 px. Strong uses 50% and 1100 px. Custom sets Image quality from 10% to 95% and Max image dimension from 600 to 3000 px in 50 px steps.
Each output keeps the input extension and adds _compressed to the basename:
report.docx
report_compressed.docx
Document Compressor reads the package's media files, converts eligible images with the selected settings, and replaces an image only when the converted file is smaller. Text, tables, and other package data remain in the rebuilt document.
How Target file size changes compression
Enable Target file size to derive image settings from each file's original size. Enter at least 0.01 in Target size (per file), then choose KB or MB. The calculation changes quality and maximum dimension before that file is processed.
Document Compressor calculates those settings once. It does not rebuild the file, compare the output with the target, and retry. The derived values stop at 20% image quality and a 600 px maximum dimension.
Why a document barely gets smaller
Only embedded images in supported document packages go through the image routine. A file made mostly of text, tables, or other package data may have little image content to reduce. The tool keeps the original image when its replacement is not smaller, so the output can stay close to the input size.
The accepted extensions are .docx, .pptx, .xlsx, .odt, .odp, and .ods. Files ending in .doc, .ppt, or .xls are ignored when selected.
Where compressing documents comes up
- A project coordinator reduces a PPTX with large slide images before attaching the rebuilt presentation.
- An analyst processes XLSX workbooks with embedded screenshots, checks each Savings value, and downloads completed files as a ZIP.
- A writer checks an ODT file's Original and Output Size values, then downloads the row with Complete status.
When to use Document Compressor
Use Document Compressor when a supported Word, PowerPoint, Excel, or OpenDocument package contains images that need recompression. The parent Document Compress Tools category covers other document-size tools. This page accepts the six extensions listed above and leaves non-image package content in place.
Frequently asked questions
How do I compress a Word, PowerPoint, or Excel file?
Add a DOCX, PPTX, or XLSX file, choose a Compression preset, and click Compress. Document Compressor recompresses eligible embedded media images and reports the result in the file table.
Can I compress a DOCX file without uploading it?
Yes. The document is opened, recompressed, and rebuilt in your browser. The page code sends no document content to a server.
Can I set a target size for each document?
Yes. Enable Target file size, enter Target size (per file), and choose KB or MB. The value derives image settings from the original size, then the file is built once.
Why did my document file size barely change?
The file may contain few images, or the recompressed versions may not be smaller than the originals. The image routine leaves text, tables, and other non-image package content unchanged.
Which document formats can I compress?
You can select DOCX, PPTX, XLSX, ODT, ODP, and ODS files. DOC, PPT, and XLS files are ignored because their extensions are outside the accepted set.
