How to extract speaker notes from a PPTX
Load one PPTX, inspect the rows built from its numbered slide files, select the slides to keep, and export the notes as TXT, Markdown, CSV, JSON, or DOCX. The table shows note text, empty notes, and slides with no notes section.
How Speaker Notes Extractor reads slides
Speaker Notes Extractor looks for ppt/slides/slideN.xml and sorts the slides by the number in each filename. It reads the linked notes part, takes the title from a title placeholder, and joins other slide text with / when context is included.
- The number in
slideN.xmlsupplies the Slide value and sort order. - Paragraph breaks in the extracted speaker notes remain in the note text.
- The on-screen notes preview shows up to 140 characters. Slide text context is kept in full.
What Empty notes and No notes section mean
Has notes appears when the extractor gets note text. Empty notes means the linked notes part contains no extracted text. No notes section covers an absent relationship, a missing notes part, or notes XML that cannot be parsed. Missing and malformed parts can add a warning.
status: "empty" → Notes: "" → export marker: "(empty notes)"
status: "none" → Notes: "" → export marker: "(no notes section)"
How to search and export PPTX speaker notes
Search slides and notes checks slide numbers, titles, note text, and context. Include slide title controls the Title column and title headings or fields in exports. Include slide text context adds Context to TXT, Markdown, CSV, JSON, and DOCX; the preview table stays unchanged. Hide slides with no notes filters the view to Has notes rows.
Select rows with checkboxes. Select all in view uses the current search and filter. Clear selection clears every row, including rows outside the current view. Select at least one slide before exporting.
What the speaker notes exports contain
- TXT and Markdown give each selected slide a section. Empty and unavailable notes use marker text.
- CSV includes Slide, Notes, and Status. Title and Context appear when selected. Status is
has,empty, ornone. - JSON contains
sourceandslides, with slide, status, notes, and optional title and context fields. - DOCX contains a heading and note paragraphs for each selected slide. Context appears when selected.
Steps to export selected speaker notes

Limits when reading a PPTX
The extractor accepts one file at a time. Password-protected OLE/CFB packages are rejected because the tool cannot decrypt them. An invalid package or a package with no numbered ppt/slides/slideN.xml files fails. Malformed slide XML is skipped with a warning. Missing or malformed notes parts produce No notes section. The tool reads text; it does not render slides, edit notes, or write back to the original PPTX.
Examples of selected-slide exports
- Search for a phrase in Search slides and notes, select the matching rows, and export Markdown.
- Turn on Include slide title and Include slide text context, then export DOCX with slide headings and context.
- Export CSV or JSON when Status must stay alongside Notes for each selected slide.
When to use Presentation Extract Tools
Use Presentation Extract Tools when you need a different presentation component. Speaker Notes Extractor is for linked note text and selected-slide exports; the parent category is the place to choose another extraction task.
